Job Summary:
We are seeking a highly organized and proactive Management Assistant to support our management team in the education sector. The ideal candidate will play a pivotal role in ensuring that daily operations run smoothly and efficiently, while providing administrative support to facilitate the strategic goals of the organization. This position requires a detail-oriented individual with exceptional communication skills and a strong ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
1. Administrative Support:
- Provide comprehensive administrative support to the management team, including scheduling meetings, preparing agendas, and taking minutes.
- Manage the organization's correspondence, including emails, phone calls, and other communications.
- Assist in the preparation and organization of reports, presentations, and other documentation for internal and external stakeholders.
2. Project Coordination:
- Support the planning and execution of educational programs and initiatives, ensuring all logistics and resources are in place.
- Monitor project timelines and deliverables, assisting with tracking progress and preparing updates for management.
- Collaborate with cross-functional teams to ensure alignment and effective communication across projects.
3. Data Management:
- Maintain and update databases and filing systems, ensuring information is accurate, up-to-date, and easily accessible.
- Assist in data collection and analysis for reports, presentations, and strategic planning purposes.
4. Event Planning:
- Coordinate logistics for meetings, workshops, and training sessions, including venue selection, catering, and materials preparation.
- Assist in the organization of educational events, conferences, and seminars, ensuring all details are managed effectively.
5. Communication:
- Act as a liaison between management and internal/external stakeholders, fostering positive relationships and effective communication.
- Prepare and distribute internal communications and newsletters to keep staff informed of updates, initiatives, and events.
6. Financial Administration:
- Assist with budget tracking and expense reporting, ensuring adherence to financial policies and procedures.
- Prepare and process invoices and purchase orders in a timely manner.
Qualifications:
- Bachelor’s degree in Business Administration, Education, or a related field.
- A minimum of 3 to 5 years of experience in an administrative or management support role, preferably within the education sector.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
- Strong written and verbal communication skills in English; proficiency in Arabic is an advantage.
- Ability to work independently and collaboratively within a team environment.
- High level of discretion and confidentiality in handling sensitive information.
