Job Description:

The Document Controller at Site 29O25 is a pivotal role designed to manage and oversee the document management process, ensuring that project documentation is accurately processed and archived. In this capacity, you will be the central point of contact for the receipt, classification, and filing of project documentation. You are expected to maintain high levels of organization and attention to detail to support site operations and project management teams. Working closely with engineers, project managers, and stakeholders, you will ensure that the documentation complies with company standards and is readily available as required. The role necessitates strong communication skills, technological proficiency, and an ability to handle sensitive or confidential information discreetly.

Responsibilities
• Maintain and update document management systems and ensure documents are easily accessible.
• Receive, review, and file project documentation accurately and promptly.
• Collaborate with team members to ensure adherence to documentation standards and protocols.
• Facilitate the distribution of project documentation as necessary to relevant stakeholders.
• Monitor the document lifecycle and manage retention schedules for active and archived documents.
• Establish and enforce document control procedures and compliance with regulatory standards.
• Provide training and support to staff on document control processes and software usage.
• Conduct regular audits to ensure document integrity and compliance with project requirements.
• Coordinate with project teams to gather and organize technical documentation and data sheets.
• Produce and maintain logs and tracking records for all managed documents and communications.
• Ensure confidentiality and security of documents and data stored on the site’s systems.
• Prepare document management reports for management reviews and audits as necessary.

Requirements
• Bachelor's degree in Business Administration, Information Management, or related field preferred.
• Previous experience in document control or records management within a construction or engineering setting.
• Strong attention to detail and organizational skills to manage large volumes of documents.
• Proficient in document management software and Microsoft Office Suite applications.
• Excellent communication skills for effective collaboration with project teams and stakeholders.
• Ability to handle sensitive and confidential information with discretion and integrity.
• Demonstrated problem-solving skills and ability to work independently to manage tasks.
